To edit or view an individual item line or allocation

Everyone can make mistakes from time to time, that's why you have the Corrections option. If you make a mistake on a transaction or you enter a transaction in error, you can use this to correct, reverse or delete your transactions.

You can use this window to correct or view individual item lines on your transactions. If a transaction is grouped as a batch of transactions this option amends or deletes the individual item line not the entire batch. You can't delete individual items but you can edit them.

Some of the fields within a transaction are critical fields. If you amend them, the original transaction is deleted and a new transaction is posted. Some transactions can't be corrected or deleted and must be reversed Find out more

We recommend you take a backup of your data before you correct or delete a transaction. Find out more


To edit or view an individual item line or allocation

  1. File > Maintenance > Corrections.

  2. Select the transaction you want to correct > Edit Item > Edit.

    The following information appears:

    N/C

    The nominal code for the item line appears here.

    From the drop-down list you can choose a different nominal code.

    Details

    You can enter the details for the item line here.

    Date

    The date the transaction was posted appears.

    Department

    The department for the item line.

    From the drop-down list choose the required department.

    Fund

    If you use charities the fund reference appears here.

    From the drop-down list, choose the required fund.

    Ex Ref

    You can enter or amend the additional reference here.

    Project Ref

    The project reference for the item line.

    From the drop-down list, choose the required project.

    Net

    The net amount of the item line.

    If the transaction is part of a batch to see the full net value, click Close.

    Tax

    The tax amount of the item line.

    If the transaction is part of a batch to see the full tax value, click Close.

    T/C

    The tax code used for the transaction.

    If you change the tax code, the Net and Tax boxes do not update automatically.

    Paid

    The amount of the item line which is allocated and not outstanding.

    Paid in full

    Selected if there is nothing outstanding on the item line and it is fully paid or allocated.

    Disputed

    Selected if the item line has been marked as a disputed item.

    Payment Allocations

    The payments or receipts made against the transaction.

  3. To amend or view the details on the payment allocation, select the line > Edit.

    If nothing is allocated the Edit or View option is not available.

    The following information appears:

    Number

    The transaction number of the item line.

    Details

    The amount allocated and allocated transaction type and number.

    Payment Ref

    The reference on the item line.

    Date

    The date of the allocation.

    Amount

    The amount of the allocation.

  4. Close > Close > Save > Yes.
